UK Manufacturer Deploys Copilot Studio Multi-Agent Platform to Transform Employee Onboarding

The manufacturer was onboarding 280 new employees annually across 3 UK manufacturing sites. The process involved 14 separate manual tasks across HR, IT, Payroll, Health & Safety, and Line Management, taking an average of 6 weeks to complete. New starters frequently arrived to find IT access not provisioned, safety training not booked, or payroll data incomplete. HR was spending 18 hours per hire on coordination and chasing, and the company was losing an estimated £2,400 per hire in delayed productivity.

We deployed a Copilot Studio orchestration agent that coordinates a network of specialist child agents: an IT provisioning agent (Azure AD account creation, software assignment, device request), a health and safety agent (mandatory training booking, PPE ordering), a payroll agent (bank details collection, HMRC setup), and a buddy programme agent (mentor assignment, first-week schedule). Each new hire interacts with the orchestrator agent via Microsoft Teams from their first day, guided through all onboarding tasks conversationally. Line managers receive a live onboarding progress dashboard via Power BI.
